We are seeking a highly organized, discreet, and reliable HR Administrative Assistant to provide essential operational support for our event-based human resources team. In this role, you will be the backbone of our administrative processes, managing high-volume personnel documentation, coordinating scheduling, and ensuring seamless communication across all event staffing channels. If you possess excellent attention to detail, strong technical skills, and the ability to maintain composure in a fast-paced environment, this is an excellent opportunity to support our team and ensure that our workforce remains organized, compliant, and well-informed.
Key Responsibilities
Personnel Documentation: Oversee the collection, verification, and secure filing of new hire paperwork, including tax forms, identification, and training certifications, ensuring 100% compliance.
Administrative Coordination: Manage event-specific administrative tasks such as drafting internal communications, preparing personnel folders, coordinating staff briefings, and tracking volunteer rosters.
Scheduling Support: Assist in maintaining staff and volunteer shift schedules, managing attendance tracking, and communicating updates or changes to team members promptly.
Communication Liaison: Serve as the first point of contact for HR-related inquiries from staff and volunteers, ensuring professional and timely responses to questions regarding shifts, policies, or site logistics.
Data Entry & Reporting: Accurately update HRIS databases and event spreadsheets, tracking key metrics like headcount, active certifications, and uniform distribution.
Meeting & Logistics Support: Prepare meeting agendas, record minutes, and organize onsite resources (e.g., name badges, check-in supplies, training handouts) for event days.
Compliance Support: Assist in conducting routine audits of personnel files to ensure that all documentation meets safety and legal requirements before event commencement.
Requirements & Qualifications
Education: High school diploma or equivalent; Associate’s degree in Business, Human Resources, or related field is preferred.
Experience: 1–3 years of experience in administrative support, office management, or HR coordination, ideally within a high-volume or event-based setting.
Technical Skills:
Advanced proficiency in Microsoft Office Suite (Excel, Word) and Google Workspace.
Experience with HRIS or event management software and high-volume data entry.
Strong aptitude for maintaining digital file systems and tracking databases.
